Electronic Accounts Payable Scenario-Specific Duplicates Data Review 

The New Multiple Specific Scenario AP Data Examination System

This proprietary system runs through hundreds of thousands of lines of AP Data, performing multiple calculations and comparisons on multiple fields. Then, those results are passed through a set of Scenario-Specific filters to ensure that our system identifies only the Highest Potential Duplicates and Overpayments in your data. These concise report results can then be quickly and easily checked with the actual invoice copies, and confirmed through your current vendors. Our Purpose-Built System enables us to perform this review far quicker, and far more accurately than any other data analytics system currently available.

We have recently designed and developed the hardware and software behind this new AP Data Review System, and have been working with a number of companies Electronic AP Data sets uncovering Duplicate Payments and Overpayments. The results to date have exceeded even our own expectations of the system’s effectiveness. What makes our system different, is that the hardware and software were specifically designed to this type of review at a never before seen level of calculative filtering and speed.  When one examines 100,000 lines of AP data, Line–to-Line, you have to run over 5 Billion comparisons. On conventional systems, this just takes too much time to make it effective to filter this much data. On our System, it takes only Days. This speed and accuracy makes my system the current benchmark for Electronic AP Review Systems.

The EAPSSDR System pulls out one line of AP Data at a time, and compares it to EVERY other line of AP data. It searches each field of each Line of AP data for a specific set of parameters, THEN, compares each of these Line-By-Line results through my Duplicate Scenario Filters before reporting an item as a Potential Duplicate. By comparing each field result to each Specific Duplicate Scenario, our report results are limited to only those transactions where there is Very Strong Potential for Duplication. These can then be quickly checked, usually through remote access to the client’s document control module, for confirmation.

These report results are never polluted with correct transactions like multiple purchases from the same vendor on the same day, or “Close” or incremental Invoice numbers for close amounts. This makes the process, Very Precise, Effective, and Responsible with the amount of resources that it requires to perform an exceptional audit.

The Scope of Mass Data Analysis

This system was designed and built with High Speed, High Accuracy Data Analytics Results in mind. Conventional systems just aren’t capable of running this many comparisons & calculations to large data sets in a timely manner.

As the size of the AP Data file increases, the amount of compare routines grows exponentially.  For example… if you compare 1,000 rows of AP Data 1 to 1 against each other, you are actually performing each field compare 499,500 times. 10,000 rows of data create 49,999,999 comparisons.  100,000 rows of data require 4,999,950,000. That’s Nearly 5 Billion line to line compare routines. To run these data file sizes in a reasonable amount of time, you need to be working with a Purpose-built AP Database Examination system.
